Invitations, RSVP & Guest Data
Last updated: August 7, 2026
These terms apply when you use EventCloud to send digital invitations or save-the-dates, publish an event website, or collect RSVPs. They form part of the Terms of Service.
1. You are the host, we are the tool
When you upload a guest list and send invitations, you decide who receives them and what they say. You are the data controller for your guest list; EventCloud is your processor and sends on your instruction. Our Data Processing Addendum sets out that relationship in detail.
2. Permission to email your guests
You confirm that every address you upload belongs to someone who knows you and would reasonably expect an invitation from you to this event. You must not use invitations for marketing, promotion, solicitation, political messaging, bulk mailing, or any purpose other than inviting people to the specific event described.
Invitation emails are sent from EventCloud infrastructure on your behalf. Excessive bounces, spam complaints or reports will cause us to suspend sending on your account and may lead to closure. Every invitation includes a way to stop receiving further messages about that event.
3. Delivery is not guaranteed
Email delivery depends on receiving mail providers, spam filters and addresses being typed correctly. We make reasonable efforts to deliver, retry and report failures, but we cannot guarantee that any individual invitation, reminder or confirmation arrives, or arrives on time. For time-critical events, confirm attendance by another channel as well.
4. Invitation designs
The invitation designs, typography and layout templates offered by EventCloud are licensed to you for use on your own events only. You may not resell them, extract them, or offer them as part of a competing product. Any image, photograph or wording you add is yours and must not infringe anyone's rights.
5. RSVP data and plus-ones
RSVP responses — names, email addresses, attendance, party size, plus-one details, meal choices, dietary and accessibility notes — are collected for you and visible only to you and anyone you share your board with. Some of this, notably dietary and accessibility notes, may be sensitive personal data in your jurisdiction: collect only what you need, keep it confidential, share it with caterers and venues only as required, and delete it when the event is over.
Where you enable plus-ones, the details of the additional guest are supplied by the invited guest. You are responsible for handling them on the same basis.
6. Children
Do not use EventCloud to collect personal data directly from children. If a child is attending, record them through the responsible adult's RSVP.
7. Public event pages
A published event website is reachable by anyone with the link and may be indexed by search engines unless you set a password. Do not publish home addresses, phone numbers, gift values or guest lists on a public page.
8. Retention and deletion
Guest lists, RSVPs and invitation send records remain on your board until you delete them or close your account. Delivery logs, including recipient address, timestamp and outcome, are retained for a limited period for deliverability, abuse-prevention and legal purposes. Unsubscribe and suppression records are kept indefinitely so we do not email someone who asked us not to.
9. Guest rights
Guests can ask you, as host, to correct or delete their details. They may also contact legal@myeventcloud.com, and we will pass the request to the host and act on our own records.
